Custom metal parts drawing checklist

A custom metal parts drawing checklist keeps the part identity, revision and requested inspection scope together. Use it before requesting a quotation for cast, forged, stamped or machined components.

Drawing control

Send the drawing number, revision and unit convention with the part request. Mark the requested quantity breakdown in the inquiry and identify which drawing takes precedence if a model and a flat drawing differ.

Critical features

Mark the dimensions and tolerances your assembly needs. Identify the features requiring inspection and ask the supplier to explain the proposed manufacturing route and how those features will be checked.

Change review

Request clarification against the same drawing revision when a feature needs discussion. Keep material, finish and sample comments linked to that revision, then ask for the agreed part description before placing the order.

Resolve drawing questions before selection

When a drawing question is raised, mark the affected feature and reference the revision under review. Ask for a written response or an annotated proposal that your engineering reviewer can assess. Do not leave conflicting drawings in the purchasing file without identifying which one your next inquiry or sample request should use.

Make the drawing package usable for a quotation review

Begin the custom parts inquiry with the drawing reference and revision your engineering team wants discussed. Explain the intended assembly and identify the surfaces or features that your reviewer considers important. Supply the dimensions, material requirements and other drawing instructions as buyer requirements, and ask the supplier to respond to the submitted revision. If the package contains several parts, distinguish their references rather than describing the whole enquiry as a single metal component. Keep unanswered engineering questions visible so a quotation does not appear to resolve a drawing ambiguity by default.

Provide the relationship between the drawing and any supplied sample. State whether the sample illustrates appearance, assembly or another specific point, and identify where the drawing takes precedence in your own brief. Ask the supplier to list questions about unclear views or missing information before proposing a production approach. Where the buyer has requirements about a process, ask for a response to those requirements without assuming that a general process description establishes suitability for this part. Refer proposed alternatives to the person responsible for the engineering decision.

For quotation comparison, keep the supplier's response alongside the exact drawing package sent. Record exceptions and proposed changes against the relevant part and feature, rather than collecting them in an unconnected email summary. Ask how the proposed inspection information relates to the dimensions or features your reviewer needs assessed. If supporting drawings or clarification sketches are added, give them their own references and identify which earlier question they answer. Do not allow an accepted price to become an unintended approval of an unresolved material, dimensional or assembly question.

Before selecting a proposal, prepare a clean list of the drawing references, agreed clarifications and remaining review points. Ask for confirmation that the quotation describes that package and request explicit identification of departures. If a revision is issued later, mark the changed features and send the revised package for a new response. Retain the earlier response for comparison rather than combining incompatible revisions into a single description. Give the receiving or inspection team the agreed drawing and review notes needed to identify the particular component that was discussed with the supplier.

If an assembly drawing accompanies individual part drawings, identify the relationship between their references and revisions. Ask the reviewer to flag any inconsistency before the package is sent for quotation. Retain the clarification alongside the affected part so the supplier's response to an assembly question cannot be mistaken for acceptance of a different component drawing revision.
