Bed sheet brief
Provide the finished sheet dimensions and the intended bed or mattress reference. Mark required edge or fitting details on a drawing and ask for the proposed construction for that particular arrangement.
Pillowcase brief
Supply the pillow reference dimensions and describe the required opening or closure. Ask for the proposed finished-size drawing using your measurement points so the sample can be reviewed against the same brief.
Coordinated set review
Identify the number and type of pieces you want in each set as a buyer requirement. Supply matching colour, care and packing needs, then check each sample component against its own specification.
Review linen sets piece by piece
Give each bed sheet and pillowcase a reference within the set list. Ask the supplier to identify the dimensions, opening details and care documents applying to each component. When a piece changes, update the set description and request a matching sample reference so approval of one component is not applied to another by mistake.
Prepare a bedding fit map
For a bedding inquiry, identify the sheet and pillowcase items separately and describe the bedding arrangement they are intended to fit. Supply your own measurements and mark the points to which they refer. If the purchase covers different bed or pillow arrangements, create a distinct record for each. Ask the supplier for the dimensions and construction description of the proposed items. A shared size name is not enough to complete the fit review; request the actual proposed dimensions and compare them with the buyer's intended arrangement before selecting samples.
Describe the proposed set contents in words as well as through any artwork or photographs. Ask which sheet and pillowcase items are included in the quotation and how each will be identified. If the buyer has a preference about openings, edges or the way the bedding is placed, illustrate it and request a response to that detail. Keep a request for a particular construction separate from confirmation that it is included. Ask for material and care descriptions associated with the offered samples rather than borrowing information from another bedding collection.
Use the intended bedding arrangement for the sample fit review and note which dimensions or openings were assessed. Record any difference between the quoted item and the sample, especially where the difference changes how it is fitted or removed. If the buyer plans a care review, request the applicable instructions first and retain the review conditions with the sample notes. Ask for revised information if the proposed material or construction changes. A colour approval should remain an appearance decision and should not silently approve different sheet dimensions or pillowcase openings.
Before confirming the assortment, align the set description, sample references and proposed packaging labels. Ask how the different bedding sizes will be distinguished during packing and receiving. Keep the accepted fit notes available to the person checking the purchase so the item can be compared with the intended arrangement. If a substitute sheet or pillowcase is offered, identify which component changes and request the relevant dimensions and instructions again. Retain separate decisions for the components of a set so an accepted sheet does not obscure an unresolved pillowcase fit question.
If the buyer expects the bedding components to be packaged together, state the intended set contents and ask for the proposed label description. Check that it agrees with the individual sheet and pillowcase references. Keep the component fit records available even when the packaging uses a shared set name, so a later change remains traceable to the affected item.
